The Challenge
The company offers a valuable portfolio of online training courses in fire safety, food safety, manual handling, and many other areas. While the courses are purchased online, the process of setting up users on the online content delivery platform was entirely manual, complex, and time-consuming.
It took approximately 15 minutes to create a new user account, assign the purchased courses, and send an email with access instructions. The company sells an average of 300 online courses per month, resulting in 75 person-hours spent manually processing sales. This amounted to 900 person-hours annually.
A significant number of courses were purchased on weekends, requiring staff to work outside of business hours. Often, senior staff (including business owners) were responsible for this work. The customer estimated the total business cost of this manual process at €18,000 per year.
The Solution
GRIP worked with all stakeholders, including the website & e-commerce and the online content delivery platform providers, to design a software solution that completely automates the current process.
The solution GRIP delivered fully automates the process of setting up new users, activating their accounts, and assigning purchased courses to their accounts. The software automatically notifies new customers about their account activation and access to purchased courses.
Once a customer purchases a course, there is no need for any manual intervention. There is no need to monitor online course sales, manually activate customer accounts, or enable them access to the courses they purchased in a timely manner.
The Results
The software solution designed and developed by GRIP completely eliminated the need for manual work and after-hours (and weekend) system monitoring. This freed up staff to focus on other critical aspects of the business.
As a result of our software, the company is saving 150 person-hours per month, or 900 person-hours per year. This translates to total annual savings of €18,000.
